Digital Logging of Machine and Equipment Inspections
Replaces paper-based records with a digital system with an audit trail, photo documentation and data export.

The beginning of the story
Machine and equipment inspections in many operations are still recorded on paper, meaning they are not logged continuously and systematically. Records are often added retrospectively by administrators, which is time-consuming and presents an audit risk. A simple application was missing that would replace paper records with a digital system, support daily inspection logging directly by maintenance staff and give the administrator an overview and data export.
Key benefits
- End of paper records, no more retrospective record filling or manual ticking on paper.
- Digital audit trail, every record is linked to the specific user who carried out the inspection.
- Automatic inspection reminders, so no deadline is ever missed.
- Easier preparation of audit materials as well as regular reports and overviews.
- Time savings for the administrator, who no longer has to manually track what has and has not been completed.
What we worked on
- Main administrator dashboard, giving an overview of the status of all inspections.
- Device and template management, through which the admin adds devices, sets inspection points and assigns operators.
- Mobile interface for operators, where after logging in they immediately see the tasks for the day and can tick off an inspection directly in the field.
- Photo documentation of defects, so when reporting a problem the operator immediately adds a photo from the scene and the admin sees exactly what it is.
- History, reports and data export to Excel or PDF, for a complete overview of completed inspections.
- Real-time notifications, which immediately inform the admin when an operator reports a defect or cannot carry out an inspection.
Result
Standoo replaces paper records with a digital system with two clearly separated roles. The admin plans inspections, monitors plan completion and exports materials for audit, and the operator knows exactly what to inspect. Every record is linked to a specific user and time, creating a reliable audit trail without manual tracking and without paperwork. Setting up the entire process takes just four steps and it can be used across industries from industrial manufacturing through healthcare to building management.
